Step 4: Verify the information
All forms are in and the client is at Pending verification. Now it’s the account manager’s turn: checking that everything supplied is complete, correct and credible. This happens inside a review.
Start the review
Section titled “Start the review”-
Open the client and go to the Reviews tab.
-
Press Start new review.
-
Choose the Reason: for a new client this is Onboarding.
-
Under Parties, select everyone who should be verified in this review, typically all parties of the client.
-
Press Start new review.
The review opens with status In progress, the client’s status changes to In review, and each selected party gets its own verification check. If a party is missing, use Add parties to review at any time while the review is in progress.
Verify each party
Section titled “Verify each party”Open a check from the review to start verifying that party. A check walks you through the party’s complete file, tab by tab: the same sections they filled in on their form. On each tab you:
-
Read the information the party supplied.
-
Verify the documents: open each document and mark it as Account manager accepted or Account manager declined. If you decline a document, contact the party for a better version and mark it again later.
-
Write a partial conclusion and choose a risk classification (Low, Medium, High or Unacceptable) for that tab.
-
Move on with Next.
A tab warns you if documents are still unverified or if a partial conclusion or risk classification is missing.
Notes while verifying
Section titled “Notes while verifying”Next to the check is a comments panel. Select a field or section and leave a note about it: “passport expires in two months”, “asked the client for a recent extract”. The note is attached to that specific field, so your colleagues immediately see what it refers to.
- Notes are visible to every team member who opens the check: the account manager, compliance and management alike. They are internal and never visible to the client.
- Compliance uses the same panel during their verification, and the review itself has its own comments panel for the risk-assessment sections.
- Everyone can delete their own note. Notes are frozen once the review is completed.
- When you start a new review you can copy the comments from the previous one, so remarks that still apply come along.
Linked reviews
Section titled “Linked reviews”Does the client contain linked parties, a person or company borrowed from another client? Then the Reviews tab shows a separate Linked reviews section below the client’s own reviews, with a Linked badge.
These are reviews that belong to the source client where the party was originally onboarded, shown here because they cover a party this client uses. They are there for information only: you can open them and see the check for the linked party, but you cannot change anything. Does something need to be updated or re-verified? Then that happens on the source client; use View original review to jump there.
This is deliberate: compliance work on a party is done once, at the source, and reused by every client that links the party.
When every tab is done, press Complete verification. The check’s status changes from Pending account manager to Pending compliance, and the party’s status shows In review – Account manager → In review – Compliance accordingly.
Assess the risks
Section titled “Assess the risks”Besides the per-party checks, the review itself contains the risk assessment of the client as a whole. Work through the review’s sections:
- Activities: what the client actually does (games, software, websites, target countries and languages).
- Purpose of relationship: why the company is set up where it is, what services you provide, and how the client found you.
- Client risks: complex structures, high-net-worth individuals, separation of funds.
- Geographical risks: activity in forbidden or high-risk countries.
- Industry risks: cash-intensive business, crypto, PSP activity and similar factors.
- Transaction profile: expected transaction counts, volumes, and source and destination of funds.
- Screenings + results: the outcomes of the sanction and PEP screenings (Step 5).
- Tax status and, where applicable, Enhanced due diligence.
Each section gets its own partial conclusion and risk classification, plus any supporting documents. Finally, set the overall Initial and Final risk classification for the client.
Hand over to compliance
Section titled “Hand over to compliance”Once all checks are completed and the review information is filled in, press Request compliance review. The review’s status changes to Pending compliance and the compliance team is notified by email.
If the request is not accepted, the review shows the reason: usually a party that has not been fully verified yet, or missing review information.
Continue with Step 5: Screening.
