Finding your way around

After signing in you land on the platform overview. Most users work within a single platform; if you have access to more than one, pick the one you want to work in.

Inside a platform you arrive at Clients. Each row is one client, with the columns:

Company nameThe client company, with the name of the point of contact underneath. As long as no company exists yet, the row shows Company to be established.
Client statusWhere the client is in the onboarding journey. See Statuses explained.
Status per partyOne badge per party status that occurs on this client, with the number of parties currently in that status: Pending information 3x means three parties still have work outstanding.
Assigned toThe account manager responsible for this client.
DateWhen the client was created.

You can sort on company name, status, assigned account manager and creation date by clicking the column header.

The search box above the list searches on the client’s first name, last name and company name, and on the names of the parties connected to it. So you can find a client by the name of a shareholder or director, not only by the company name.

Two things it does not search on: the email address of a client or party, and the trade name of a company party: an affiliated company you know only by its trade name is found by its legal name, not by that trade name.

Three filters sit above the list, and they are remembered between sessions:

  • Team member: only the clients assigned to a particular account manager.
  • Client status: one of the seven client statuses, or Archived to see archived clients.
  • Party status: clients that have at least one party in the selected status; this filter also has an Archived option.

Envelope iconShows this client’s system processing address. Put that address in the CC or BCC of an email you send from your own mail program, and the message is filed automatically on this client. See Emailing your client.
Three-dot menu → EditOpens the client’s details to change the point of contact, the assigned account manager or the internal note.

Three-dot menu → Restore / Delete permanentlyShown for archived clients: bring the client back, or remove it for good. Reserved for management.
  • Create new client starts a new onboarding. More on that in Step 1: Create the client.
  • The download icon exports the client list to an Excel file (clients_export.xlsx) with one row per client: the name of the point of contact, the company name, the client status, the creation date and who created the client. Exporting is available to management roles.

The left-hand navigation holds the other overviews of your platform.

Parties is a platform-wide register of every person and company across all your clients: points of contact, UBOs, shareholders, directors, stakeholders and affiliations. Use it when you want to look at a person rather than at a client.

  • Choose between Natural persons and Legal entity, and filter by party status (including Archived).
  • The Clients column lists every client the party is connected to. The same person on two clients is recognized (by name and date of birth) and shown as a single row.
  • The Status column shows one badge per client: a party can be Compliance agrees on one client and still Pending information on another, because a party status always belongs to a specific client file.
  • Clicking a party takes you to its most recent verification check.

Users lists your team members with their role, email address and phone number. Managers and administrators can add a colleague here:

  1. Press Create.
  2. Choose the Role, and fill in name, email address, phone number and an initial password (there is a generate-password helper).
  3. Save. The new team member can sign in straight away.

The role determines what someone may see and do; every role is described in Team roles. Existing users can be edited (including their email signature) or removed from the platform from the three-dot menu.

Two entries are only visible to the roles that manage the platform itself:

  • Theme: your organization’s logo and colors, used in the dashboard, the client portal and every email that goes out. Reserved for administrators.
  • Settings: the platform settings, including which optional features are switched on (for example the Stracket screening integration and the client portal). Available to management (CEO and director) and administrators.

If you don’t see these entries, your role doesn’t include them.

DevicesYour verified devices: the devices you have signed in from, so you can revoke one you no longer use.
Account settingsYour own profile: name, email address, phone number, your password and your email signature. Your role is shown here too, read-only.

Click a client to open its page. Along the top are the tabs you use during onboarding:

  • Information: the main tab: all connected parties with their statuses, the client’s details, screening actions and exports. This is also where the risk profile of the client is shown once a review has been completed: the initial and final risk classification, the compliance decision, the final conclusion and the next review date. These fields are filled in during the review and are read-only here.
  • UBO: the ownership structure (organization chart) of the client: who owns and controls what, with percentages. The legend explains what the nodes mean: the client company, shareholders, UBOs and directors, affiliated companies and directors, and linked parties borrowed from another client. The History button opens the structure history.
  • Chats: internal chat about this client with your colleagues. You’ll get an email if you miss a message or are @mentioned.
  • Contact client: send emails to the client directly from the dashboard, and see the full mail history including the client’s replies.
  • Documents: all documents connected to the client, including internal client documents. See Managing documents.
  • Internal notes / Audit trail: internal notes for your team, and the full history of everything that happened on this client. Every status change, screening and email is recorded here automatically.
  • Reviews: the compliance reviews of this client. This is where verification and the final decision happen. See Step 4 and onwards.
  • CGA license: the client’s CGA license documents, seals and CGA conditions. See Managing the CGA license.

From your profile menu you can update your profile settings (name, email address, phone number), your email signature (used in emails you send to clients) and your password. This is also where you find your verified devices.
