Step 6 — Review & decision
The account manager has verified everything and pressed Request compliance review; the screenings are in. The file is now with the compliance officer, and after that with management for the final decision.
Compliance verifies every party
Section titled “Compliance verifies every party”The compliance officer opens the review (status Pending compliance) and goes through each party’s check again, independently:
-
Open a check and walk through the tabs.
-
Judge the documents a second time: mark them Compliance accepted or Compliance declined.
-
Review the account manager’s partial conclusions and risk classifications.
-
If everything is in order, mark the check Compliance verified. If not, use Send back to account manager: the check returns to the account manager to fix, and the party’s status shows where it is at all times.
This double work is deliberate: every party is looked at by two different people.
The final conclusion
Section titled “The final conclusion”With all checks compliance-verified, the compliance officer completes the review:
- Final conclusion — the overall assessment of the client in writing.
- Final risk classification — Low, Medium, High or Unacceptable.
- Decision — Approved or Rejected.
- Next review date — when this client should be reviewed again. The system suggests a date based on the final risk classification (see Periodic reviews); a custom date is also possible.
- Compliance comment — any remarks for the file.
Then press Complete review.
Management approval — the four-eyes principle
Section titled “Management approval — the four-eyes principle”For onboarding reviews (and UBO changes), completing the review doesn’t finish it: the review moves to Pending approval and the client’s status becomes Pending approval. The final decision is reserved for management — a different, more senior person than the compliance officer who wrote the conclusion.
Management reviews the file and answers Is the client approved?:
- Records the date of the CAMS meeting (client acceptance meeting) and uploads the CAMS document.
- Adds management feedback where useful.
- Confirms with Yes or No.
For other review reasons (periodic review, director change, and so on) this extra step is skipped and the review completes immediately.
The result
Section titled “The result”When the decision is made:
- The client’s status becomes Accepted or Declined — visible to your whole team in the client list.
- Every reviewed party shows Compliance agrees.
- The risk classification, decision and next review date are recorded on the client.
- A review report (PDF) is generated and stored with the client, along with per-party check reports.
- A complete snapshot of the client file is archived, so you can always show exactly what the decision was based on.
The client is now fully onboarded.
After onboarding
Section titled “After onboarding”The file remains active after the decision: screening monitoring continues daily, a periodic review opens automatically three months before the next review date, and changes a party makes via the portal are routed into a review. The After onboarding section covers this next phase in detail.
