Emailing your client
All email with a client runs through the client’s Contact client tab: what you send, what the client sends back (by email or through the portal), and what the system sent on your behalf. This gives every client one threaded mail history, recorded in the audit trail.
Sending a mail
Section titled “Sending a mail”With the mail permission you can compose from the Contact client tab:
- To — either one of the client’s parties (natural persons with an email address; a linked party is mailed from its source client), or custom email addresses.
- Topic — categorizes the mail: General, Business and Corporate Information, Personal History Disclosure, Online Gaming License Application, License document, CGA seal or Other. Both the mail list and the client’s portal message center can be filtered by topic.
- Title and Body — the mail itself. A greeting and your personal email signature (set in your profile settings) are added automatically, and the mail is styled with your platform’s logo and colors — check the preview before sending.
- Files — attachments.
- Unlock for party — optional: unlock the selected party’s form or portal along with the mail, useful when you’re asking them to correct something.
Tracking what happens
Section titled “Tracking what happens”The mail list shows every message with its topic, sender, recipients and current delivery status (delivered, opened, bounced). Opening a mail shows the full delivery timeline per recipient, the rendered message and its attachments. Replies are shown threaded under the original mail.
How the client reaches you
Section titled “How the client reaches you”Client messages arrive in the same tab, marked as coming from the client:
- Reply by email — every outgoing mail uses the client’s unique processing address as reply-to. When the client hits reply in their own mail program, the message is matched to the client and appears in the thread. The assigned account manager is notified (or all account managers if nobody is assigned).
- Via the portal message center — parties can start messages from their portal, tagged with a topic or a specific document, seal or license condition. These also land in the Contact client tab, and the client’s creator is notified by email.
Resending and forwarding invitations
Section titled “Resending and forwarding invitations”Invitation mails (for the submission form or the portal) have two extra actions in the list: Resend sends the same invitation again to the same address; Forward sends it to a different address, marked as forwarded. Regular mails are answered with Reply instead.
